Dear NEWWA Spring Joint Regional Conference & Exhibition Exhibitor:
The 2020 Spring Joint Regional Conference has been rescheduled to June 22-23, 2020.
First and foremost, NEWWA would like to thank you for your continued support of the association during these unprecedented times. We appreciate your patience as we have worked to reschedule the show due to the high level of requests by attendees for not only training contact hours, but networking opportunities as well.
Exhibitor and attendee registration fees will be transferred to the new dates, unless NEWWA is otherwise notified of cancellations or conflicts.
Your booth location(s) as of Friday, March 6, 2020, and all payments will automatically be transferred to the new dates. Move-in will be held on Sunday, June 21, and the show will be open Monday, June 22, and Tuesday, June 23, 2020. The complimentary reception will be held in the exhibit hall on Monday, June 22, 2020.
Any conference cancellations received March 1, 2020 – March 16, 2020 have not been processed. Therefore, original registrations and payments will be transferred to the new dates, as stated above.

1:00PM – 5:00PM Hall open for all exhibitor set up
Monday, June 22
7:00AM – 8:00AM Exhibitor set up/move in
8:00AM – 3:00PM Hall open
4:00PM – 6:00PM Reception sponsored by exhibitors & conference sponsors (exhibit hall)
Tuesday, June 23
7:30AM – 8:00AM Exhibitors enter exhibit hall
8:00AM – 1:00PM Hall open
1:00PM – 2:00PM Exhibitor move out

In an effort to have a full exhibit hall in June, NEWWA has implemented the following staggered cancellation policy. We understand not all companies will be able to attend the new dates, and NEWWA will need to make additional efforts to fill the hall. The minimal cancellation fees will be assessed to assist NEWWA in this process, and we thank you for your support.
Exhibit cancellations received by April 1, 2020, will be refunded the exhibit fee, minus the $150.00 deposit. This is the standard cancellation fee; as originally outlined in the vendor packet.
Exhibit cancellations received April 2, 2020 - May 15, 2020 will be refunded the exhibit fee, minus a $250 cancellation fee.
Exhibit cancellations received after May 15, 2020 will not receive refunds.
All additional description fees are non-refundable. Please note, due to our fiscal calendar, we can not carry funds past June 30, 2020, so transferring conference registration/exhibit fees to the 2021 conference is not available.
Hotel Reservations: Any and all arrangements with third parties (flights, hotels, etc.) will need to be cancelled/rescheduled on an individual basis. NEWWA is not responsible for these cancellations.
Already purchased electric from DCU? All previously placed orders will be moved to the new date and you will not need to order again.
Already purchased supplies from SER? Companies who have already placed orders with SER for the April dates will be refunded. A new service kit for the June dates will be distributed and you would need to replace the order.
Grandfathered Booth Location(s): All confirmed exhibitors as of Friday, March 6, 2020, will have their 2020 booth location(s) grandfathered in for next year’s conference, March 31-April 1, 2021, provided an early sign-up form is received by July 31, 2020. Early sign-up forms will be sent via email and distributed at the rescheduled conference, June 22-23, 2020.
Sponsorships: All secured conference sponsorships will be transferred and applied during the new conference date. Sponsorships are non-refundable.
Additional Conference Features:
• Career Fair: All career fair tabletop registrations will be transferred to the new conference date. Please note, schools will no longer be in session, so you may see decreased attendance. Contact KTodesco@newwa.org if you no longer wish to participate. No cancellation fees will apply.
• Committee Meetings:
No meetings will be conducted at the Worcester DCU Center on April 1 or 2, 2020. Committee chairs, please contact Mary Quigley MQuigely@newwa.org
if you would still like to hold your committee meeting via conference call. In addition, committee meeting times will be available on June 22 and 23. Please contact Mary to schedule.
• Hydrant Hysteria Competition: Due to the national competition being held June 16-17, 2020 in Orlando, NEWWA’s competition will be held on an earlier date, at an alternate location(s), to determine which team will be sent to ACE – June 2020.
• Student Poster Session: We are currently confirming plans with the Student Activities Committee.
• Young Professional breakfast: The breakfast will now be held on Monday, June 22, 2020.
